Privacy Policy

1. Scope

This Privacy Policy explains how Maryam Haq LLC, operator of AI Call Deck ("AI Call Deck," "we," "us," or "our"), collects, uses, stores, and shares information when you use aicalldeck.com, dashboard.aicalldeck.com, our AI receptionist services, and related integrations.

2. Information we collect

We collect information needed to provide and secure the service, including:

• Account information such as name, email address, login credentials, role, and subscription status.
• Business configuration such as services, opening hours, call scripts, booking rules, and transfer settings.
• Call information such as caller number, timestamps, transcripts, outcomes, duration, and performance metrics. Raw call audio is not stored by default.
• Appointment information such as customer name, phone number, service, date, time, duration, and notes.
• Technical information such as IP address, browser information, security events, and application logs.
• Billing information processed by our payment provider. We do not store complete payment-card numbers.

3. Google user data

If you choose to connect Google Calendar, AI Call Deck requests your Google account email and permission to view and edit calendar events using the https://www.googleapis.com/auth/calendar.events scope. Google bundles event viewing and editing into this permission. AI Call Deck uses it only to:

• Identify the Google account you connected.
• Create Google Calendar events for confirmed appointments.
• Update those AI Call Deck events when an appointment is rescheduled.
• Delete those AI Call Deck events when an appointment is cancelled.
• Display connection and synchronization status in your dashboard.

AI Call Deck does not import, display, or analyze unrelated events from your Google Calendar. We store the connected account email, the primary calendar identifier, encrypted OAuth credentials, the granted scope list, and identifiers and synchronization status for appointment events created through AI Call Deck. Appointment details stored in AI Call Deck may include the customer name, phone number, service, time, and notes entered by the business or collected during a call.

Google Calendar access is optional and is not used for advertising. We do not sell Google user data, use it to determine creditworthiness, or transfer it to data brokers. Humans do not read Google user data unless you affirmatively request support involving that data, access is necessary for security, access is required by law, or the data has been aggregated and de-identified for lawful internal operations.

AI Call Deck's use and transfer of information received from Google APIs adheres to theGoogle API Services User Data Policy, including the Limited Use requirements.

4. Google Workspace and AI Processing

AI Call Deck uses Google Calendar data only to provide user-facing appointment scheduling functionality, including checking calendar availability and creating, updating, or managing appointments when authorized by the user.

AI Call Deck uses the OpenAI API as an AI service provider for telephone reception and appointment-booking functionality. Limited information necessary to complete the requested scheduling function may be processed by the OpenAI API, such as requested appointment dates and times, available scheduling times, appointment details provided by the caller, and booking success or failure.

We minimize the Google Calendar information provided to the AI service. We do not provide calendar identifiers, event identifiers, event links, raw Google API responses, detailed synchronization data, or detailed Google error messages when they are not required for the user-facing scheduling feature.

Google Workspace user data, including raw, aggregated, or derived Google Workspace data, is not used by AI Call Deck to create, train, or improve foundational or generalized artificial intelligence or machine-learning models.

Our use of information received from Google Workspace APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

OpenAI API inputs and outputs are not used to train OpenAI's models by default unless an API customer explicitly opts in. AI Call Deck's OpenAI API organization is configured so optional API data sharing for model improvement is disabled.

5. How we use information

• Provide AI call answering, appointment management, calendar synchronization, and account administration.
• Authenticate users, prevent abuse, investigate incidents, and protect the service.
• Process payments, calculate usage, provide support, and communicate service notices.
• Monitor reliability and improve product performance using appropriately limited operational data.
• Comply with applicable law and enforce our Terms of Service.

6. How we share information

We share information only with service providers needed to operate AI Call Deck, such as cloud hosting, telephony, AI processing, email delivery, Google Calendar, and payment processing providers. They may process data only to provide their contracted services. We may also disclose information when legally required, to protect rights and safety, or as part of a business transaction subject to appropriate safeguards.

We do not sell or rent personal information or Google user data.

7. Storage, security, and retention

We use access controls, tenant isolation, encrypted transport, and encrypted storage for Google OAuth credentials. No system is completely secure, but we maintain reasonable safeguards appropriate to the nature of the data.

We retain account and operational information while your account is active and afterward only as reasonably necessary for legal, security, billing, backup, and dispute-resolution purposes. Google OAuth credentials are deleted when you disconnect Google Calendar. Calendar event references may remain in appointment records as needed to maintain booking history, but they are no longer used to access Google after disconnection.

8. Your choices and deletion requests

You may update business and appointment information in the dashboard. You may disconnect Google Calendar from the Calendar or Integrations page and may also revoke access in your Google Account permissions. Disconnecting prevents future Google Calendar API access but does not delete the business's internal appointment history. To request access, correction, export, or deletion of your account data, email privacy@aicalldeck.com. We may need to verify your identity before completing a request.

9. Callers and customer data

Businesses using AI Call Deck are responsible for providing legally required notices and obtaining any required consent for call recording, transcription, AI processing, and customer communications in their jurisdictions. We process caller and appointment data on behalf of those businesses to provide the service.

10. Children

AI Call Deck is a business service and is not directed to children under 13.
